Registration management - Import sub-tab

You can also bulk upload event attendees to the platform using a CSV file.  Instructions for importing multiple attendees can be found below.

Import procedure

  1. Click on the “Import" sub-tab and simple step by step instructions will be presented for you to upload attendees in bulk. It is recommended that before you begin the data upload, you review the example import template file (CSV) that can be found in the link below the instruction steps.

  1. Download the audience import template file from the link “import-contact-example.xlsx”. 

This will open a XLS file with the columns properly formatted and pre-built for you. The fixed column names are specified as follows:

  • firstname
  • lastname
  • email
  • company
  • company_position

Simply copy paste or manually input your audience data into the columns. Be sure to save the completed datafile as a CSV file (CSV UTF8), and not XLS. 


Note: The sample file will open in XLS format (Microsoft Excel), but you must save it in CVS UTF8 format (comma separated values), otherwise you will receive data import errors.

  1. Once you’ve input all your audience data, you can upload the CSV file by dragging and dropping it into the “Upload a CSV UTF8 file” section or clicking in the “Upload” section and downloading the appropriate file from a file location on your computer. Finally click Process and validate entries to verify the integrity of the import.

  1. The following stage will evaluate the information in the uploaded file, and you will be able to verify the data's format correctness before the AI wizard imports it into the system. To perform the import validation, click “Process and validate entries” button.

If you have errors, check that your imported data file complies with the example template formatting prerequisites and make corrections as needed. Repeat the import and validation step until you have 0 invalid entries. You are now ready to complete the validation and import process and move to the audience management process in the Laia platform.

  1. Click Action Completed to return to the Audience list.

After successfully uploading your bulk attendee list, you will see the attendees in the Registration tab and the Audience list sub-tab. Here you can further manage your audience credentials.   Imported attendees will have the “Login enabled” status giving them the ability to automatically log into the platform.

If you want to change their status, i.e. if you don't want to allow them to log into the platform automatically, you can change their status as follows:

  1. In the Audience tab, select the uploaded participants you wish to modify by checking the box beside their name and click the Edit multiple button.

By turning off the “User Login Enabled” button in the Bulk Edit window, you can prevent the chosen users from logging into the platform.

Confirm the selection by pressing the Save and publish button and the attendees you checked will be updated with the “No” status in the Login Enabled credential on their profiles. These attendees will not be able to login automatically.
